Describe one real handoff
Consider a form submission that updates a customer record and alerts its owner. Specify attachments, the lookup key and which fields may change. Inspect the actual piece actions rather than treating an integration logo as evidence that every operation exists.
Separate location from entitlements
Official installation guidance offers hosted use and a free Community edition. Hosting location and feature entitlement are separate decisions. Prepare one list for where data may run and another for authentication, roles and audit requirements; a self-hosted deployment does not by itself satisfy either list.
Test failure with disposable data
Use disposable records for missing fields, repeated IDs and expired connections. Decide where a completed notification is recorded so a replay does not send it twice. These are proposed acceptance tests, not claims that this publication has run the product or measured its reliability.
Budget the work you take over
A hosting bill omits upgrades, backups, restore drills and credential management. Define the tolerable interruption and who can recover the service. For a single operator, the practical fallback is often a documented manual business procedure, not an assumed instant migration to another platform.
An illustrative 400-enquiry evaluation
For an illustrative four hundred enquiries monthly, specify a lookup by customer ID, creation when missing and notification to the owner. Retain a separate new enquiry by the same customer, while treating another delivery of the same submission ID as a duplicate. Explain that distinction manually before encoding it in a flow.
The useful acceptance result is the difference between expected receipts and completed records, not merely the number of sent alerts. Record where the operator would investigate a difference: connection, mapping or ownership. That evidence helps decide whether to expand the prototype into a maintained business process.
Fit conditions and reasons to reconsider
Keep it on the shortlist where the required app handoffs exist and an operator can maintain them. If custom calculation and API changes make code ownership the dominant workload, compare a separate execution architecture too. Count neither flows nor connectors as a substitute for someone able to change the actual process.
Choose payment from a required capability
Map people, credits, identity and audit needs separately to the official offer. One successful free example does not establish busy-period capacity or adequate team controls. If reviewer and executor differ, also validate version-specific authorization rather than assuming a submitted request is immediately permitted to mutate live records.
Retain the specification before stopping
Inventory triggers, action mapping, state and connection owners. Saving configuration and transferring authorized connection access are different tasks. Reconcile outstanding work at cutover and review obsolete connections by scope. Verify contractual timing rather than stopping a required process before the replacement is operational.
