Specify the work that continues after the engagement
Inventory what continues: search review, selected-query monitoring, unresolved repairs, content maintenance and monthly reporting. Give each a recipient, deliverable and owner. Do not preserve every previous report automatically; map the retained work to decisions the client will make. If a report stops, document the lost check and how a later question can be investigated. This differs from an internal subscription cost review: the objective is continuity after a service provider leaves. Check agreed delivery and retention boundaries rather than silently promising a new ongoing service through an ambiguous final handover.
Distinguish ownership from working access
Separate Search Console ownership from analyst access, and report ownership from data credentials. Confirm the client retains necessary control before removing the former operator. Use legitimate sharing and transfer mechanisms rather than passing around an account password. Review verification tokens under current official guidance with the authorized site owner. List billing responsibility separately when it differs from day-to-day analysis. The acceptance condition is not merely that somebody has an account: the right person must retain appropriate access to the required views and configuration after the provider’s permissions change.
Give retained outputs enough operating context
For tracking, retain query, location, device, target, start date and cadence. For audits, retain scope, exclusions, date, exceptions and repair status. A large archive without operating context does not tell the recipient what to do next. Add metric definitions and source references, keeping estimates separate from owned-property evidence. Verify how export and historical access change after the actual subscription ends. Do not promise history that cannot be retained. State the delivered boundary and inspect for unrelated client material before handing anything over. A smaller explained package is often more usable than an indiscriminate archive.
Example: a report depends on the departing analyst
Imagine the client can open a Data Studio report while its source still relies on the departing analyst’s authorization. Inspect report sharing, source ownership and credentials separately. Current documentation describes completing the source transfer through the new owner’s reconnection. Changing a displayed owner name alone is not completion. Test the intended viewer, required period and fields, then confirm refresh still works. If substituting another dataset, annotate any changed definition despite identical field names. This is a hypothetical continuity check, not a claim that this guide transferred an account or that every connector supports the same migration path.
Coordinate renewal decisions with the end date
The engagement end, subscription renewal and evidence-retention deadline can differ. Before removing capacity or extra users, separate remaining agency work from what the client will operate. Verify refund and historical-access conditions instead of assuming how an annual commitment ends. A move to free tools can still need reconfiguration, explanation and manual assembly time. If monitoring continues, identify who pays and who reads alerts. Assign an end date and decision owner to any temporary overlap. A lower bill is not a successful offboarding outcome when the necessary recurring work becomes ownerless or impossible to maintain.
Retire access after the recipient completes a check
Have the recipient complete one recurring review independently, locating settings, unresolved work and source evidence. If the former analyst must operate every step, address the documentation or permission gap first. Then let the appropriate administrator retire unnecessary sharing, credentials, alerts and extra access while preserving agreed records. Retaining necessary evidence differs from indefinitely retaining unrelated personal data. Record completion date, reviewer and remaining constraints so later failures can be investigated. The handover should prove that the agreed work continues through the chosen replacement arrangement, not force the next team to retain every previous service or dependency.
