Inventory the report’s source dependencies
Inventory reports, sources, connections, calculated fields, filters, recipients and refresh owners. Identically presented tables can support different decisions when their source or calculation changes. Record the location and update date of manual inputs too. Begin with one report needed for the next recurring review rather than migrating every asset indiscriminately. Identify dependencies on personal accounts, organizational administration and separately contracted connectors. This reveals work that report sharing alone cannot finish. If the inventory spans clients, establish which information the recipient may receive before turning a convenient combined list into an unintended disclosure.
Distinguish report access from source credentials
Official documentation distinguishes owner, viewer and service-account credentials. Verify support and conditions for the actual source rather than assuming every connection accepts every mode. With owner credentials, the source owner and credential owner need not be the same person. A report recipient’s direct access to the underlying dataset is another question. Separate viewing, editing and connection administration before granting broad permissions. Seeing the successor’s name in one management screen does not establish that every dependency on the former operator disappeared. Record the real authorization responsibility for each connection so the handover can be tested rather than inferred.
Example: transfer one of two client reports
Imagine an analyst handling two clients but transferring only one report. If copying it, inspect connections, filters and calculations for references to the other engagement. Open the actual recipient view and verify required periods and pages, while ensuring unrelated client material is absent. The editor’s screen is insufficient. Some credential arrangements can show report data to a viewer without direct source access, so content selection remains a separate responsibility. This is a test design, not a guarantee that one sharing mode is universally safe. Do not resolve every blank view by granting broad source access without understanding the actual requirement.
Complete the source reconnection after transfer
Current instructions describe transferring the source and completing the process through the new owner’s reconnection. Confirm the successor has the necessary underlying access and inspect the connection state. If lack of access requires another dataset, compare dates, definitions and aggregation rather than field names alone. A temporarily working report immediately after transfer is not proof of sustainable refresh. Refresh and inspect it as the intended recipient. Interface labels can change, so consult the current source-specific guidance and screen. Record an uncompleted step explicitly rather than treating an apparently successful ownership action as the whole handover.
Evaluate administration and connector costs separately
Compare current Pro scope when organizational ownership or administration is required, but do not presume payment automatically repairs undocumented connections or unnecessary sharing. A free report can depend on separately charged connectors or source usage; identify whose contract receives each bill. Budget migration, recipient testing, refresh review and explanation. A single operator change and a wider organizational redesign need different estimates. Before ending a contract, verify required reports, connection continuity and post-cancellation output conditions under that arrangement. A rough person count is not a complete continuing-cost specification when projects, data sources and external dependencies differ.
Retire the former operator’s access after acceptance
Have the successor locate source material, calculation definitions and required reports, then explain a complete recurring refresh. Record tested viewers, date, connections and constraints before an authorized administrator removes obsolete sharing or permissions. Verify the permitted scope and retention period of historical reports without presuming indefinite storage of unrelated personal information. A move to another product must reproduce definitions, filters, access and refresh, not only appearance. Hand over unresolved work and the responsible contact after the old report stops. Completion means a future empty view can be investigated by its owner rather than leaving a visually transferred but operationally orphaned report.
