Outcome and scope

Organize applicants, interview events and pending communications without exposing sensitive evaluation material in a broad shared view. The purpose is to help authorized staff see the next action for each application. It does not automate hiring decisions or claim that a score can replace an accountable review of an applicant.

Keep one application ID per role or hiring process, even if the person’s email is shared across applications. Interview assessments need an author and date rather than a mutable single score.

Prepare the fields and destination

Prepare these fields: Application ID, role ID, applied time, owner, stage, next-contact deadline, interview ID and restricted evaluation reference. Keep source values separate from a reviewer’s confirmed values, and do not reuse an existing column for a different meaning. Create the first record with practice identifiers in a destination whose read and edit access matches the intended staff roles. Inspect the saved result from that role before using live information.

Reducing visible columns is not a substitute for restricting underlying access. Test shared views and attachment access with the actual role intended to use them.

Build the workflow in order

Keep applications separate from job openings and allow one person to apply for different roles without collapsing those applications. Store interviews as events linked to an application, with time, interviewer and completion state. Treat supporting documents as restricted material rather than creating a public link for convenience.

Define stages and the condition for moving between them. Track a next-contact deadline and build an owner-specific work queue. Separate accepted, withdrawn and declined outcomes instead of hiding them under one undifferentiated closed label. Restrict detailed outcome explanations and interview assessments to the appropriate reviewers.

When an interview changes, preserve its event identity and record the revision. If calendar or email integrations are added later, reconcile the current event with earlier invitations. Begin with a separate review step for outcome messages; a staff member moving a record between stages should not unintentionally send a final decision.

Work through a small example

Create an application with first and second interviews, then reschedule only the first event. Check the stage, next-contact deadline and both event histories. Separately open any public job-opening view as an outsider and ensure it does not expose applicants, attachment links or restricted assessment material.

Handle changes during operation

Count applicants separately from interview events. Operational reporting should define its date interval and focus on unresolved actions and missing owners, not turn incomplete assessments into an automatic ranking.

Estimate cost and usage

Budget the access needed by recruiting staff and interviewers, not only a nominal user count. Applicant attachments can drive storage, so decide what belongs in Airtable and what stays in another controlled system. Include review time for sensitive communications. Cost reduction should not depend on broader personal-data exposure or premature deletion of useful history.

Investigate failures

For missed follow-ups, inspect missing owners, closure rules and deadline filters. Establish retention and deletion responsibilities before using deletion as routine housekeeping. If a document was shared incorrectly, revoke that access, identify the exposed scope and inform the responsible administrator rather than simply removing the visible record.

Review before release

Before release, test a normal record, one missing a required value, a repeated identifier and an edited record. Use application id to trace the saved result back to the source. The acceptance condition is: Keep application, interview and communication histories with an explicit next owner and deadline. Record the expected result before testing, compare it with the actual saved state, and resolve unexplained differences before increasing the scope.
