Identify the actual constraint

Separate seat growth, storage, permissions and custom processing. Compare a targeted correction with a complete migration where the present role or plan configuration might be enough. Changing products does not automatically repair an ambiguous record model or duplicated source of truth.

Evaluate Baserow as a register candidate

For Baserow, inspect record relationships, intake and access using representative data. Choosing self-hosting introduces infrastructure, upgrade and backup ownership. A free software entitlement should not be presented as zero-cost replacement of the current operating service.

Separate execution from storage

Where custom calculations or scheduled jobs are the main constraint, an execution platform such as Windmill may be part of a different architecture. It is not automatically an equivalent register and user interface. Define the main record storage and exception editing before comparing a multi-service configuration.

Verify relationships, not only row counts

Equal row counts do not establish a correct migration when customers and requests are related. Preserve an identifier map and verify that links still point to the same business entity. Sample files, selections, dates and blanks for representation differences rather than relying on a bulk import’s completion status.

A hypothetical small-team transition

For three editors and one approver, test the approver’s actual task before changing access. Removing a paid role should not quietly remove required review evidence. Compare routine edits, returned work and reassignment using one acceptance sheet on the old and proposed configurations.

State the migration economics honestly

Include reconstruction, cleanup, verification and staff instruction in transition cost. Keep subscription differences and maintenance changes distinct to estimate an illustrative payback. If hosting or governance requirements justify the move, state that objective without manufacturing an immediate saving.

State a non-price requirement separately

A move may be justified by placement or access requirements even without immediate payback; state that requirement explicitly. Conversely, where the existing setup already fits, a small invoice difference need not justify an urgent rebuild. List added monitoring, integrations and staff instruction separately. Retain the reason and verified evidence alongside the budget rather than presenting a licence comparison as the whole decision.
