Model the records before the screens

Separate organizations, people and requests and define their linking identifiers. Manually repeating organization names across tables can create inconsistencies and duplicates. Establish which record is authoritative for a change before optimizing the interface around an unstable data model.

Separate intake from internal processing

External submission and internal assignment are different operations. A respondent does not automatically need editing access to the working register. Evaluate corrections, attachments and duplicates as well as the first successful form submission, with a named owner for exceptions.

Separate the trial from continuing Free

Official guidance describes an introductory Team trial followed by Free or a paid choice. A configuration that works during onboarding may not retain the same capabilities or capacity afterward. Check the intended continuing offer for automation, storage and record requirements before treating the pilot as a production commitment.

Map roles to the applicable billing rule

Billing depends on workspace and role. The official Team guidance includes collaborators at Commenter or higher, so counting only editors can understate cost. Separate readers, submitters and commenters, and inspect the applicable offer rather than estimating from the total number of account contacts.

A hypothetical ten-project operations test

Use ten hypothetical projects with customer, due date, owner and review status. Rehearse reassignment, another project from the same customer and a deadline change. Acceptance should show agreement between the working view and the main records, not merely that an automated alert was sent.

Prepare an exit specification

Retain field meaning, relationships, forms, conditions and connection ownership alongside data values. For a move, separate exportable records from settings that must be recreated. Verify record count and scope and establish retention before changing the subscription; an exported table alone is not a complete operating specification.

Test reviewer reassignment

Reassign an operator across ten hypothetical projects and check that outstanding work appears in the successor’s view. Changing only an alert destination does not complete a handover if the register still carries the former owner. Verify both the necessary permission and its billing treatment. Record reading, leaving a review comment and editing a field as distinct tasks rather than assuming successful access proves all required work can be performed.
