Separate respondents from editors
External submission and an operator’s status update are different actions. Check whether an external person needs any register editing access at all. Evaluate the form journey separately from the internal team’s ability to maintain one main record.
Inspect the existing data model
If Airtable already holds the main records, compare direct intake with a separate Tally-to-register handoff. Keep a customer and a new enquiry distinguishable rather than overwriting them into one ambiguous row. A separate form introduces a transfer boundary that needs its own failure inspection procedure.
Compare the actual response specification
Apply the same questions, files, branches and correction situations to both configurations. The operator must be able to use the received answer, not merely create a matching field. If respondents need later edits, inspect the actual correction and identity conditions separately.
Price both layers of the process
Check Tally’s paid entitlements and fair use alongside Airtable’s billable roles and capacity. A combined setup also needs any external integration bill. A free form does not make internal collaboration free, and a paid register does not automatically make every respondent a paid seat.
A hypothetical fifty-request pilot
For fifty requests from twenty existing customers, retain twenty customer entities and fifty request entities. Distinguish repeated delivery from another legitimate request by the same customer. Reconcile submitted, internally recorded and notified work rather than treating a sent alert as proof that every handoff completed.
Prepare to remove either layer
Retain question-to-field mapping, submission IDs and state meaning. Check continued handling of old requests independently from the future input route. Before cancelling either layer, validate necessary retained answers and establish a legitimate integration shutdown procedure.
Test a correction after intake
A fictional customer changes a deadline after submission. Distinguish the original answer, correction request and current register value. Decide whether an answer may be overwritten or an operator must review it. In a separate-form setup, do not assume later corrections automatically synchronize; inspect the required operation. Keep intake and internal review distinct and define what historical evidence is actually necessary.
