Separate launch volume from maintenance
Twelve five-minute lessons create a hypothetical finished-runtime target of sixty minutes, not an automatic credit requirement. First list lesson identifiers, scenes, languages and the portion containing generated presenter footage. A later month with partial corrections to two lessons belongs on a separate row. Treating the initial peak as permanent annual demand can lead to unused capacity. These numbers demonstrate a budgeting method. They do not establish that a particular plan can produce twelve accepted lessons or that a completed minute consumes the same resources in every workflow.
Identify what is being generated
The current official explanation distinguishes generated work from editing and previewing. Separate new presenter footage, regeneration of an existing passage and dubbing, then map each operation to the applicable usage unit. Where only a supporting image changes, verify the actual regeneration scope in the project instead of assuming none is required. Replacing an entire lesson and replacing a few seconds are different workload assumptions. Keep unknown usage visible as unresolved rather than entering zero. This prevents a visually small editorial change from becoming an unexplained capacity gap near the release deadline.
Derive seats from responsibilities
Separate production editing, subject review, translation review and publication approval. Not everyone needs to change the script, but the required commenting or review operation still needs to be available under the contract. Exercise one lesson through those responsibilities before adding names to a seat count. Define what an external reviewer receives and who retains ownership when an operator leaves. Sharing one login is not a substitute for establishing appropriate seats and permissions. A workable role map can prevent both unnecessary paid access and a blocked approval step discovered after the lesson library has been created.
Specify the learning-platform boundary
State whether learners receive a viewing link or a file hosted in the learning platform. List required caption files, branding treatment, delivery format and learning-history behavior separately. If SCORM is part of the requirement, distinguish a playable preview from completion and resume behavior inside the actual destination. Give the sample to the distribution operator and test it from a learner device. Abundant generation capacity does not compensate for an unsuitable delivery route. Any additional platform or hosting charge belongs beside the creation subscription so the budget describes a working training service.
Compare two representative months
Build separate launch-month and maintenance-month budgets, then compare ordinary monthly billing, annual billing and additional credits. Keep introductory discounts separate from renewal charges. For annual access, identify the upfront payment and the period in which capacity is usable. Map the official explanations of renewal, extra credits and rollover to the actual contract rather than treating them as universal. Include quiet production months in total expenditure. When future lesson volume is unresolved, the apparent monthly equivalent alone is not a sufficient reason to commit to an annual purchase.
Version the budget assumptions
Record the pricing-check date, proposed contract start and lesson inventory used in the budget. If a feature or usage unit changes, preserve which assumption changed rather than silently overwriting the old estimate. More lessons may increase translation and distribution work as well as generation. Reconcile the approved budget with the actual collection before renewal. This gives the next decision maker a traceable basis for continuing or adjusting the contract.
Replace assumptions with a documented pilot
Update the planning budget after making and correcting one lesson. Record script revision, generation scope, observed balance change, human review time and delivery problems. Preserve the date and environment for each observation so later contract or feature changes can be compared. Where a contractor builds the initial library and an internal team maintains it, have the receiving operator perform the same correction. State which work is included and excluded. The creation-service subscription is one component of training production cost, not a substitute for the complete creation, approval and distribution budget.
