Define the learner action

Choose one action the learner should perform after watching. For an expense submission, specify the selection, the confirmation step and the visible completion state. A presenter on screen is a design choice rather than the objective. Decide when a person, a screen capture or a diagram is needed for understanding. Breaking a long policy into decisions and procedures can make approval and later revision easier to manage. This is a production design recommendation, not a measured claim about the educational effectiveness of a particular video format.

Separate a trial from production delivery

The current official page distinguishes free Basic from paid Starter and Pro options. Being able to share a sample does not establish the right file delivery for production. Decide whether learners receive a viewing link, an uploaded file in a learning platform or a logo-free client deliverable. Check the present plan rather than carrying an old name or allowance into the comparison. For an annual commitment, record the upfront charge and expected yearly workload alongside the monthly equivalent. Evaluate the contract against the distribution route that the organization will actually use.

Budget the generated work

A finished minute is not a universal unit for every production operation. Map scenes, translation, dubbing and replacement footage to the calculation method shown in the current pricing guidance. Separate a launch month containing ten new lessons from a later month containing two revisions. Preparation of supporting visuals is another resource, not part of the generation balance. Record observed usage only when the account has actually been tested. Before that, describe the workload as an assumption so a planning example is not mistaken for a validated production allowance.

Approve language with the supporting image

Match the terms spoken by the presenter to the interface the learner will operate. Agree on internal abbreviations, then reconcile quantities and units across speech, captions and supporting material. A content owner should check that localized versions retain the source conditions and exceptions. Reviewing voice naturalness alone can miss a changed meaning or an outdated screen image. Use a record containing lesson identifier, language, script revision, reviewer and release status. Keep an attractive but unapproved draft clearly separate from the version that learners are supposed to receive.

Exercise revision and replacement

Use a hypothetical deadline change to test the complete revision route. Correct the script, generate the required replacement, update the localized versions and replace the learner-facing asset. A viewing link and an uploaded video file have different replacement points. Test learning history and playback behavior in the actual destination platform. If SCORM is required, establish its contract and behavior separately from the ability to make a video. The operational acceptance condition is that another authorized operator can carry out the same correction without reconstructing the entire production history.

Define withdrawal responsibility

Agree with the publication owner when a policy or interface change requires withdrawing the old lesson. Record effective date, next review date and distribution locations. Distinguish a minor correction that can wait from an instruction that could cause the learner to perform the wrong action. Identify owners of copied files as well. Maintenance includes locating and withdrawing a superseded version, not only generating its replacement.

Make the adoption decision explicit

Record lesson volume, languages, required outputs, editor and reviewer roles, launch costs and recurring maintenance in one decision sheet. Keep a screen-recording or narrated-diagram alternative where a presenter does not solve a clear learner need. Resolve untested permissions and distribution features before choosing a more expensive contract. Retain final media, approved scripts, supporting assets, captions and source permissions. Identify the revisions the organization must still perform after cancellation. This makes the choice about the maintainable learning workflow rather than the most impressive sample presenter.
