Fix the deployment option
Hosted and self-managed configurations differ in both bills and responsibilities. A Community estimate still needs infrastructure, storage and backups. Do not copy self-hosted unit pricing into a Cloud estimate merely because both configurations execute the same business script.
Count roles from actual work
Distinguish people building scripts or flows from those running and inspecting them. Official pricing describes role differences, so one assumed price for every person can misstate the budget. For external or guest access, also verify the applicable category and counting period.
Relate workload to resources
Separate a brief daily report from many simultaneous large-file jobs. Use the official compute description to inspect memory and operating-time assumptions. Unlimited execution wording should not be transformed into a promise that any workload fits the same cost or available capacity.
An illustrative month-end estimate
Suppose two builders, three operators and concentrated month-end work. Map people to the actual billable categories and separate ordinary resources from peak-period additions. Leave an unverified amount marked for quotation, not zero; an empty price is not evidence that the requirement is free.
Identify a real paid requirement
Where required identity, audit or administration controls belong to a paid edition, record that as an explicit requirement. Successful free experiments alone do not settle the contract. Select a configuration whose authorized operators can complete both normal work and the agreed failure procedure.
Prepare before reducing the setup
Before reducing a setup, inventory schedules, connections and retained outputs. Separate work that may stop from work that must move. Reconcile business state without assuming cancellation reverses completed external effects. Check contractual timing and treat configuration export separately from legitimate transfer of secret access.
Separate ordinary and peak resource assumptions
In an illustrative budget, separate short daily work from a large month-end batch. Compare additional compute, spread-out execution and a longer permitted wait against the actual business deadline. Do not assume peak resources are required throughout a year without checking observations and contractual conditions. Where the amount is not established, retain a configuration requirement still awaiting a price rather than treating it as a free line.
