Separate payloads from operational evidence

List the investigation questions before storing complete inputs. An intake identifier, start and finish time, outcome and error class may answer many of them without retaining the customer’s message or attachment. Keep exceptional payload inspection behind an appropriate separate access path. Avoid displaying personal content broadly in an ordinary execution list. Map each retained field to a concrete question an operator must answer, such as whether a notification was attempted or where processing stopped, rather than retaining everything because it might someday be useful.

Inventory every retained copy

Trace queues, failed-execution records, exports, notifications and backups as well as execution history. One retention setting should not be assumed to erase every copy. Make documents execution confidentiality and webhook queues separately, which illustrates why each active feature needs its own review. If you select a setting that avoids saving run payloads, separately determine what happens to data awaiting processing. The inventory should identify owner, purpose and removal method for each location so a later deletion request or incident does not stop at the most visible dashboard.

Choose retention by execution purpose

Successful work may need only aggregate evidence, while failed work may need a short investigation window. Manual execution can also copy real data into an unexpected place. n8n documents controls for selecting saved execution data and pruning older executions, but verify the active version and hosting arrangement before applying a remembered setting. Reducing saved data is not automatically safe if it removes the only source needed for recovery. Decide where the authoritative business record remains independently of the automation history.

Align retention with actual investigation time

The evidence window must fit the team’s actual response time. Weekly inspection is incompatible with an investigation record that disappears earlier, while keeping resolved payloads indefinitely needs a separate justification. Consider review frequency, holidays and the delay before customers report problems. Agree the policy with the business owner and check applicable legal or contractual requirements separately; this guide does not choose those periods for you. Assign responsibility for verifying removal as well as specifying a number of days in a document.

Verify recovery under the chosen policy

Use fictional intake to test how an operator diagnoses a failure and resumes work under the selected policy. If an identifier leads to the authorized source record, a duplicate payload in every log may be unnecessary. If recovery repeatedly requires asking customers to submit again, review what evidence is missing. Inspect exports and backups as well as the visible history after removal. The acceptance exercise should not create more copies of real customer information merely to prove that a deletion setting appears to work.

Review access and exceptional retention

Limit log access to operational need and review former staff access during handover. Give exceptional extended retention a reason, owner and end condition so it does not become an indefinite exception. Check that API keys and authorization headers do not enter diagnostic output. The policy is complete only when necessary investigation still works and each retained copy has a stated purpose. Use the related handover and attachment guides for their broader workflows rather than treating execution-log cleanup as complete management of all business information.
