Understand the three building blocks

A scenario is the workflow, modules are its individual operations, and connections authorize access to applications. In a simple notification flow, one module receives spreadsheet rows and another posts a message. Authorization still needs to cover the actual destination. Before building, write down which account owns the sheet and which workspace will receive notifications.

Choose a job with a clear result

Look for repetitive handoffs with an observable result: a request reaches an owner, a deadline produces a reminder, or a weekly count reaches a manager. Perform the job manually once and identify the mechanical part. “Automate customer support” is too broad; “notify the right person about a new request ID” gives you something specific to verify.

  • Intake: save a submission and notify its owner.
  • Operations: identify overdue drafts or tasks.
  • Reporting: deliver a defined set of counts.

Keep judgment and irreversible actions under review

For a first project, stop before refunds, contractual commitments or sensitive customer replies. Let the automation assemble a review queue and require an explicit approval state. Adding an AI step does not resolve questions about authority or correctness. Decide who can approve a result and what evidence they need before the workflow sends anything outside the team.

Build one small trial before scaling

Create a dedicated sheet with three fictional requests and a separate notification destination. Keep scheduling off while checking the first run. Limit the starting point so an experiment cannot replay an entire customer list. Your acceptance note should compare the source IDs with the received messages, rather than merely record that the run displayed a success status.

Estimate volume from the whole workflow

A request count alone does not specify usage. Searching for existing records, processing several items and recovering from errors can change the workload. Budget separately for normal requests and unusually large ones. Use the dedicated credit guide for the arithmetic and the pricing guide for billing periods, allowances and the purchase decision.

Example: a one-person enquiry workflow

Suppose one person copies a few enquiries each day. First ask why the copying exists. A response sheet and one notification may already prevent missed requests. If ownership varies by category, add a small category-to-owner table. There is no need to introduce AI classification and a CRM synchronization in the first release.

Evaluate fewer missed records, a clear route back to the source and visible failures, rather than the number of workflows created. For a very small job, maintenance can exceed the time saved. Keep manual handling as an explicit alternative and expand only after the smaller process demonstrates useful results.

Decide against the alternatives, including manual work

Make is worth considering when a team needs a configurable handoff across several applications and can maintain it visually. If a native notification already completes the job, keep that simpler option on the list. Compare Zapier or n8n using the same inputs and outputs. Include maintenance, connection renewal and staff handover in the decision, not only the subscription price.
