Start with a concrete handoff

A useful evaluation begins with one handoff: a form submission becomes a customer record and the responsible person receives a notification. Write down the trigger, destination fields and expected result. An app appearing in the integration directory does not establish that its connector supports every object or operation you need. Inspect the specific actions before committing.

Estimate tasks from the design

For an illustrative workflow, 500 monthly records with two ordinary successful external actions per record create a baseline of 1,000 tasks. These figures illustrate the stated design; they are not measured product performance. Apply the official rules for special AI, code or MCP steps separately, and allow for successful actions repeated during replays. A workflow run and a billable task are different units.

Separate Free from a trial

Distinguish the permanent Free tier from a temporary paid-feature trial. Confirm which version of a workflow remains available after the trial ends. A successful demonstration during onboarding may rely on paid multi-step workflows, premium apps or webhooks. Use the feature table and actual subscription screen to decide whether the intended production configuration fits the selected tier.

Decide who will operate it

Record expected volume, task assumptions, overage behavior and the person responsible for failures. For a business workflow, also decide who owns connected accounts and how access will be transferred when responsibilities change. Evaluate one billing cycle of representative usage before treating an annual discount as a saving; a lower unit price does not justify paying for the wrong capacity.

Track the cost of replay separately

Add an acceptance case where a destination write succeeds but the final alert fails. Replaying a whole run can repeat earlier successful actions. In addition to accounting effects, define how receipt IDs and completion records prevent repeated writes or messages. A rerun should be a documented decision, not a reflex response to every failure.

Preserve lookup and mapping assumptions

Document lookup keys, permitted blanks and overwrite rules, with a named owner for mapping changes. A valid connection alone does not establish a valid business result: an outdated field mapping can create a wrong record even when the integration reports technical success. Periodic spot checks should inspect the output, not only a green execution status.

Prepare an evidence-based comparison

For an alternative comparison, translate observed record volume and ordinary successful actions into the other provider’s meter. Rebuilding, account authorization and staff instruction are transition costs too. Preserve the business specification and reconciliation method before switching a whole process on the strength of a lower subscription.
