Diagnose what actually increased

Consider 800 orders monthly whose average line count rises from two to six. Higher Make consumption may reflect repeated work rather than only a price change. Inspect orders, lines, lookups, replays and AI separately. Compare a targeted repair, such as reducing repeated lookups, with migration. Retain representative inputs from the expensive month so a replacement estimate covers the same work. Dissatisfaction with an invoice alone does not define what must change. Without a diagnosis, the next platform can inherit the same duplicated processing and a similarly difficult operating procedure.

For the repair option, record consumption after unnecessary work is removed. Compare the replacement with that revised baseline rather than an expensive old design against a simplified new one.

Evaluate Zapier for a defined app handoff

If the job is mainly lookup, creation, update and notification, inspect those exact operations on Zapier. Shared app names do not establish matching fields or attachment handling. Translate Make credits into actual qualifying actions and special AI or code rules rather than copying the allowance number. If line processing needs redesign, include implementation and maintenance in the transition estimate. Keep the candidate only when the operator can explain a field change and a partial failure. Directory size alone is not a reason to switch a working process whose important custom operation has not yet been reproduced.

Evaluate execution boundaries and hosting separately

For n8n, define which inputs start an execution before applying Cloud’s execution meter. For Activepieces, inspect the current credit and governance requirements. Both document self-hosting, but servers, upgrades, backups and recovery still need an operator. A free edition is not a zero-cost continuation of the same managed service. If placement control is required, record that requirement explicitly. Separate a deployment-led move from a cost-saving claim. This avoids assuming that a longer workflow is automatically cheaper under another meter or that moving infrastructure satisfies every edition-level access and audit need.

Consider a maintained-code architecture where appropriate

Where custom calculations and API transformations dominate and already require a developer, compare a maintained-code setup such as Windmill. An execution platform is not automatically a replacement customer register or intake interface. Identify which component owns input, storage and operator review. Retain dependencies, a code maintainer and appropriate execution access. Combining logic into a short script does not prove lower maintenance. Check that another person can identify the unfinished window and legitimate restart path when the original developer is absent. Compare the whole architecture rather than only the tool replacing the visual diagram.

Calculate payback after continuing maintenance

Suppose transition work costs 300, the base subscription saving is 40 monthly and extra maintenance costs 15. Net saving is 25, producing a twelve-month simple payback. These are illustrative same-currency assumptions, not current vendor price differences. Include rebuilding, verification, authorization, staff instruction and parallel comparison in transition cost. A necessary governance requirement may justify moving without short-term savings; then retain evidence that it is met. Compare busy and replay-heavy conditions as well as an ordinary month so a modest base saving does not conceal a larger operating bill after cutover.

Move from saved configuration to one production writer

Save the Make blueprint and separately inventory business records, connection owners and unfinished orders or lines. Connections need re-establishment, and the blueprint is not a direct conversion into another product. Compare representative inputs and failure behavior before moving production. Set a cutover point preventing both tools from writing the same order. Review the old subscription and outside API bills separately and remove obsolete access after validation. Migration completes when the operation continues with accountable outputs, not merely when a diagram has been downloaded or a visually similar replacement has been saved.
