Separate the constraint from dissatisfaction
Consider a company handing over a nightly reconciliation previously maintained by one person. Distinguish upgrades, incident response, team sharing and missing app operations. Calling all of them difficult can reproduce the same problem in another product. Compare changing to the appropriate n8n Cloud or edition, improving the procedure and replacing the system. Explicit requirements prevent unnecessary rebuilding of unaffected work. Retain the last completed business window as well. A migration decision needs a concrete problem to solve and a continuity boundary, not simply a general preference for a different editor.
If the change overlaps a busy period, complete validation and operator instruction earlier. Schedule around business continuity rather than using only the contract’s end date as the migration deadline.
Compare managed options when infrastructure is the burden
If server care is the burden, compare managed Make, Zapier and Activepieces against the same process specification. Separate infrastructure work removed from workflow maintenance retained. Expired app authorization and changed fields remain possible on Cloud. Translate n8n executions back into retrieval, comparison, writes and alerts before applying tasks or credits elsewhere. Match administrative scope as well. Comparing a managed subscription with only the old software fee cannot establish a meaningful saving. The relevant question is the cost of receiving a usable service with the operational responsibilities the team can actually sustain.
Match collaboration to the actual edition
Distinguish reviewing results, changing workflows and administering connections. n8n’s official sharing guidance has Cloud and self-hosted entitlement conditions, and another product’s free tier need not contain equivalent controls. Rehearse the required roles with two operators without sharing the owner login. Hosting location and feature entitlement are separate decisions. For self-hosted Activepieces or Windmill, inspect the selected agreement and administration work as well as deployment availability. A move should demonstrate the desired division of responsibility instead of merely replacing one installation with another whose team controls remain unverified.
Decide which logic remains maintained code
For workflows with substantial custom APIs or calculations, decide which logic becomes standard actions and which remains code. A Windmill-based proposal also needs input, storage and operator-review components. Moving code does not prove that dependencies and connections function unchanged. Use the same normal, missing-input and upstream-timeout samples. A shorter script is not itself evidence of lower maintenance. Evaluate whether a successor can explain a change and recovery procedure. Preserve the business rule independently of the source editor so the comparison concerns equivalent outcomes rather than the apparent size of the new implementation.
Include changed accounting and transition work
Replacing a daily batch with per-record starts changes both latency and accounting. Batching formerly immediate work can reduce starts while failing the required deadline. Price ordinary and month-end concentration against the same timing requirements. Include rebuilding, authorization, data cleanup and instruction as one-time transition work, with continuing maintenance separate. Leave unknown charges requiring confirmation rather than zero. If placement control is the purpose, record that independently of short-term savings. This prevents a changed execution boundary or an omitted operator from creating an apparent financial advantage that does not survive actual business use.
Separate workflow export, secrets and unfinished work
Retain workflow JSON, business records, completed window and connection ownership separately. Inspect exports for sensitive credential names or authentication headers introduced through cURL. Self-hosted recovery also needs secure key retention. Do not consolidate these responsibilities by pasting secret values into the migration specification. Establish authorized destination connections and compare equivalent inputs. Move to one production writer, check the actual subscription-change date and then retire obsolete access and the old setup. A workflow download is a useful starting point, but the move is complete only when unfinished work and required outcomes are accounted for.
