Define the meaning of a record
Do not blend one customer, one enquiry and one order into an ambiguous row. Multiple requests from one customer suggest separate record types. Define stable identifiers rather than relying on name spelling so subsequent imports and reconciliations can distinguish updates from new work.
Distinguish views from authorization
A convenient filtered view is not evidence that excluded records are inaccessible. List roles and allowed scopes, then match them to actual permission entitlements. For external users, do not assume that sharing the internal operating table is equivalent to a properly scoped customer interface.
Compare hosting on equal responsibilities
Check Cloud row and storage capacity and self-hosted infrastructure and staffing separately. Identical data structures can have different operating boundaries. A free installation should not produce a budget that omits backups, upgrades or incident response.
Check field types before migration
Dates, amounts, telephone numbers, selections and attachments should not all be treated as plain interchangeable strings. Move a representative sample and inspect leading zeros, line breaks, blanks and time zones. Preserve a source-to-destination identifier map before importing the complete dataset.
A hypothetical supplier-register pilot
For fifty hypothetical suppliers, separate contact, product scope, owner and review date. Ask the operator to correct a record and identify upcoming reviews. Where several people may change the same information, establish the authoritative record and a procedure for resolving conflicting edits.
Distinguish export from full recovery
Official table-export guidance identifies exclusions such as comments and revision history. A saved CSV is not automatically a complete restoration of the operating setup. Identify relationships, attachments and history that must remain available, separating retained evidence from configuration that must be rebuilt.
Test a changed organization name
Use a fictional supplier that changes its name while retaining a stable ID. Check that related requests still point to the same organization, rather than creating a new one merely because the display name changed. Add another company with the same name to prevent accidental merging by text alone. Acceptance includes explaining the reason for each update and verifying linked entities, not only matching the total number of imported rows.
