Check whose included usage applies

Personal accounts have included monthly usage, but organization-funded use follows a different arrangement. Confirm the payer when creating a workspace and inspect beyond-allowance behavior. Do not generalize a personal free allowance into the same cost assumption for every repository or collaborator.

Separate compute and storage

Track machine choice, runtime and retained storage separately. A stopped environment changes the compute situation but does not remove retained data. Review the actual inventory and usage records rather than relying on developers to remember which days they worked. That makes a cost increase attributable to capacity, time or retention.

Do not rely on closing the tab

Verify that the environment actually stops when work is finished. Closing the browser does not perform that stop. Review idle behavior and decide how it should differ between a long-running task and a short edit. The objective is an explicit operating rule, not saving cost by unexpectedly interrupting a necessary process.

Example: budget several workspaces

For a hypothetical estimate, sum H × R for each workspace, where H is runtime and R the applicable rate, then add storage S. This is a planning formula, not a quoted rate. Apply actual included usage and contract conditions afterward. When increasing workspace count, include how long stopped environments remain retained.

Verify budgets and alerts

For a budget or alert, verify the product scope, payer and actual enforcement behavior. A notification is different from blocking additional use. Identify the billing owner and the developer responsible for examining environments after an alert. A limit without a response process is an incomplete operating control.

Preserve work before cleanup

Before deleting an unused workspace, identify code to preserve in Git and data requiring separate export. Cost cleanup should not destroy needed work. Maintain an inventory distinguishing temporarily stopped environments from those approved for removal, so the same reasoning remains available when ownership changes.
