Specify the actual files

List required formats and maximum size. Before accepting broad file types, establish an appropriate way for operators to inspect them. Test representative disposable material from the intended device, including large photos where relevant, rather than relying on a tiny desktop demonstration file.

Match a file to the correct case

Filenames alone may not distinguish identical names or revised submissions. Retain receipt, case, time and version context. Rehearse the same person submitting for two cases and replacing an earlier document, with an explicit way to identify which version is current.

Inspect access after an integration export

Tally’s official guide explains token-bearing file links in third-party integrations that can be opened without a Tally login. Inspect access to the receiving sheet or notification as well as the form itself. Treat such a document URL according to the access it conveys, not as an ordinary public reference link.

A hypothetical twenty-case intake

For twenty hypothetical cases, allow two documents each and a possible revision. Verify that the operator locates the current version without uncontrolled copies, not only that the expected file count arrives. Compare copying an attachment into alerts with an appropriately scoped reference to the retained source document.

Compare capacity and governance requirements

Normalize file size, retained storage and operator access across Tally, Typeform or a register-oriented intake. Include any paid file or governance entitlement required. External storage and automation remain separate costs even when the visible form can be created without a subscription.

Define export and deletion separately

Verify response records and the file bodies independently; retaining a list of URLs alone may not secure the required material. Typeform documents a file-export route. Assign retention and deletion ownership and, on a move, verify that the destination can actually open the needed documents.

Test access from the receiving system

With a disposable document, inspect who can open the link in an alert or receiving register. Review access conveyed to readers of that destination, not only people signed in to the form service. There is no need to publish the test document URL. Acceptance should show that the appropriate person reads the current version, access is not unnecessarily expanded and required retained material remains secured before a subscription change.
