Distinguish registration from hosting

Record the registrar, authoritative DNS service and website host separately. Even when they appear in one vendor dashboard, the roles differ; continuing the website subscription does not establish every domain’s renewal status. List each domain, registrant, billing owner and authorized administrator. Where a contractor bought it, confirm the business has the rights and contact arrangements needed to maintain it. Merely viewing a website editor or receiving a copy of an invoice does not demonstrate control over registration or DNS changes.

Maintain renewal dates and reachable contacts

Track expiry, automatic-renewal state, notice recipient and billing responsibility. Automatic renewal does not remove the need to notice an expired payment method or a departed recipient. Use a business-maintained contact arrangement and an alternate responsible person. Shopify documents renewal for Shopify-managed domains; a domain registered elsewhere must be checked with its actual registrar. Identify that boundary before following instructions. The register should contain status and responsibility, not card numbers, passwords or reusable account recovery secrets.

Inventory services that depend on the domain

Inventory email, intake forms, authentication URLs and subdomains in addition to the main website. Map relevant DNS records to their purpose and owner. A working homepage does not prove working mail, and a website move does not authorize removing unrelated records. Investigate an unknown record instead of deleting it because it looks old. Separate an ownership review from a DNS redesign so a routine renewal check does not introduce an unplanned outage across services that happen to share the domain.

Verify authorized control during handover

Have the incoming administrator use the authorized account process to inspect registration details, renewal state and contacts. Verification does not require changing production DNS as a demonstration. Record who approves changes and where identity or recovery requests go. Confirm that the new owner and alternate have a working management path before retiring a former contractor’s access. Copying credentials into an unrestricted handover document is not a substitute for controlled access, and screenshots alone do not prove that the recipient can administer the domain.

Separate transfer decisions from renewal urgency

A registrar transfer and renewal of the current registration are different operations. When expiry is near, check the actual transfer conditions and timing before deciding whether renewal should come first. A change of website host does not necessarily require a registrar transfer. Understand how contacts and DNS are handled during the chosen transfer and protect dependent services, including mail. Compare administrative control and available support as well as price. Do not promise that a transfer will finish before a deadline without confirmation from the responsible provider.

Review control as an ongoing responsibility

Review the register when staff or payment arrangements change, not only at delivery. Check registrant, notice receipt, next renewal, authorized administrators, recovery route and major dependent services. Record the review date and next responsible person, distinguishing settings actually changed from settings merely inspected. Acceptance means the business can maintain registration and arrange necessary changes without reaching the original designer. The related website handover guide covers the broader editorial and hosting responsibilities that remain beyond domain renewal.
