Read the Cloud offer carefully
The verified Cloud Premium display is USD 12 per user monthly or USD 10 monthly equivalent annually. It is not a universal amount for higher tiers or self-hosting. Check the relevant contributor and workspace structure before applying the amount to a headcount.
Forecast records and storage separately
A small number of attachment-heavy records can use substantial storage. Keep monthly record growth separate from file volume per record. Inspect retained history and obsolete files too; a tiny initial table is not a sufficient basis for choosing the next year’s capacity.
Treat permissions as a plan requirement
Required role or audit controls can drive a plan decision independently of capacity. Define readers, data editors and configuration owners, then inspect the applicable access entitlements. A filtered view should not be assumed to enforce the authorization boundary required for the underlying records.
A hypothetical five-person annual estimate
If five billable people use the stated annual Cloud Premium offer, the base calculation is 10 × 5 × 12 = USD 600. That excludes tax and surrounding services. A month-to-month comparison uses 12 × 5 monthly instead. A discount should follow confidence in the continuing need, not replace it.
Include the self-managed workload
A free installation still needs hosting, upgrades, backups and recovery ownership. Estimate the resources and availability actually required, then include operating time at an internal cost. Comparing only the server invoice with the Cloud subscription leaves a substantial responsibility out of the calculation.
Check exports before cancellation
Official table-export guidance identifies exclusions such as comments and revision history. Inventory required values, relationships, files and historical evidence before a move. Reopen an export and verify record count and field meaning before changing the subscription; downloading a file is not the same as validating a usable migration.
Model a changing contributor count
For a fictional increase from five people to seven, identify the work of the two additions. A person listed as an owner contact is not necessarily an editing contributor; apply the actual contract category. Do not invent the confirmed mid-term invoice by prorating it yourself. Check the remaining annual commitment and change timing through the account and documented billing procedure before making a spending decision.
