Fix the Japanese Basic offer
Record the country-specific offer, billing interval and applicable tax treatment from the official checkout. Keep the first cash payment separate from an annual price expressed as a monthly equivalent. Converting an overseas dollar headline does not establish the Japanese contract. If an introductory offer is available, calculate the ordinary renewal budget independently so that the store remains affordable after the promotion ends.
The Japanese Basic display checked on 29 October 2026 is JPY4,850 for monthly billing or JPY3,650 monthly equivalent annually. The annual base calculation is JPY43,800 before considering payment-related and app costs; it is not the complete store budget.
Model orders and payment mix
Break orders down by payment method and destination as well as average value. Identify which charges apply to every order and which depend on a particular payment route. Include refunds and cancellations in the operational case. Write the eligible sales amount beside each percentage so a later change in the payment mix does not silently invalidate the comparison.
For an illustrative JPY 400,000 month with 100 orders, separate domestic cards, overseas cards and other methods. Keep processor charges distinct from any applicable Shopify third-party transaction fee. This guide does not assign one rate to every merchant. Verify country, card category and Shopify Payments eligibility. Where a charge includes a fixed amount per transaction, revenue alone is insufficient: order count also belongs in the calculation. Retain these assumptions when comparing a higher plan or another platform.
Inventory recurring apps separately
Give every app a purpose, owner, billing location and removal impact. Check whether two subscriptions solve the same need. Distinguish evaluation tools from apps required for order fulfilment. Before launch, decide which remain active and test any removal using a non-production process, rather than assuming that uninstalling a visible interface also cancels every related external subscription.
Inventory billing cycle, usage basis, provider and data needed after cancellation. Several small app subscriptions can outweigh a difference between base platform prices. Review theme and asset reuse rights as well. Before removing an apparently unused app, inspect customer records and notification responsibilities it still holds. Removing a visible component should not be assumed to terminate the contract or preserve its data. A complete budget identifies the continuing service behind each required selling function.
Calculate an upgrade against eligible sales
Separate fee savings from the value of operational features when evaluating an upgrade. Use actual eligible transactions rather than a sales target that has not yet been achieved. A staffing requirement may justify a different plan even before a simple fee break-even point is reached; conversely, a feature-rich plan can add fixed cost without solving a problem that the store actually has.
Suppose the monthly difference is JPY 5,000 and the eligible fee difference is 0.2 percentage points: the simple break-even is 5,000 ÷0.002 =JPY 2.5 million. These are illustrative inputs, not current Shopify plan differences or rates. Substitute actual eligible sales and payment mix. A staffing or feature requirement can justify an upgrade independently; record that reason separately. Do not treat an optimistic revenue forecast as observed evidence that a fee-led upgrade already saves money.
Include operations in low and busy months
Trace an order through payment checks, inventory, packing, dispatch, enquiries and returns. Separate ordinary work from exceptions and identify a backup operator. If automation is added, budget the time needed to discover a failed order and return it to manual handling. A low platform subscription is not evidence that fulfilment can be completed reliably within the staff time available.
Busy periods also increase packing, address changes and dispatch work. Estimate staff effort from your own process alongside subscription and payment charges; do not invent a time-saving percentage from order count. Before launch, use documented test-order procedures and include returning the store to its intended live payment state. A real purchase followed by a refund can leave processor costs, so distinguish it from a simulated test. The operating budget should cover exceptions, not only straightforward new orders.
Review closure bills and retained records
Plan for the period after the final order, when delivery questions, returns and refunds may still arrive. Decide where exported records will be read and who continues customer support. Keep required record retention separate from cancelling services that are no longer needed. A closure checklist should reconcile the open orders and all connected bills, not merely disable the storefront that customers can see.
Official deactivation guidance calls for separate review of apps billed outside Shopify. Review domains, email, outstanding dispatches and refunds too. The end of the store subscription does not equal the end of responsibility to earlier buyers. For migration, map products and URLs and name the people responsible for orders, inventory and refunds at the destination. Coordinate the old service’s effective end date after the replacement can support both new selling and necessary historical customer requests.
