Separate advertised time from occupied time

A workshop advertised from 13:00 to 15:00 may occupy a room from 12:30 setup until 15:30 clearing. Store preparation start and expected release separately from the participant-facing time. Record who returns the key and whom to contact if the previous class overruns. One calendar event cannot reliably describe every resource: a class in another room may need the same projector. Decide which rooms, shared equipment and staff availability belong in the booking check, rather than assuming the public timetable contains enough information to approve everything.

Give resources stable identifiers

Create room records with resource ID, usage conditions, setup allowance and key owner. Equipment records need an ID, storage location, booking unit and an unavailable-for-maintenance state. Link bookings to these records instead of matching free-text names such as main room, which may change. Distinguish items booked as one set from stock booked by quantity. When using Airtable, selecting a known resource record makes reconciliation clearer than repeatedly typing its display name. The data model still needs an agreed rule for when a resource is genuinely released.

Check interval overlap explicitly

An interval conflicts when its occupied start is before another booking’s release and its occupied end is after that booking’s start. A room released at 15:30 conflicts with another class preparing at 15:00, even if their public class times do not overlap. Decide whether exactly adjacent intervals are acceptable given travel and inspection time. Treat all-day reservations and mixed time zones deliberately. A calendar that looks tidy is not evidence that the full resource intervals are compatible; compare the values used by the actual approval process.

Include active provisional requests

A list containing only confirmed reservations allows two organisers to approve the same apparent gap. Include active holds, each with an expiry and owner. For a small operation, one approver reduces the risk that another booking appears between checking and saving. Airtable views and Make branches can expose the information, but they are not automatically a transactional lock. If immediate automated confirmation is essential, compare a reservation system that can enforce resource conflicts under concurrent requests. Do not present an advisory overlap view as stronger protection than it actually supplies.

Handle extensions and unavailable equipment

An extension affects release time and the next booking, not just the displayed end. When equipment fails, mark the resource unavailable and identify affected classes instead of deleting reservations. Retain the previous assignment and owner when substituting another device. Keep calendar-event IDs separate from reservation IDs so a failed calendar sync does not erase the internal confirmed state. A notification retry must reference an existing booking rather than create another one. This preserves the decision history while giving an organiser enough information to resolve the actual resource problem.

Use an existing calendar for a small inventory

One room managed by one organiser may need only an existing calendar with setup and clearing included. Add a register when several rooms, shared items or expiring holds require a joined view. Compare collaborator seats, reservation units, automation runs and maintenance effort together. Make can reduce notification and synchronisation work, but adding a connector cannot retrospectively guarantee that capacity decisions were correct. Retain an operational owner who confirms actual release. The simplest sufficient arrangement depends on how many people allocate resources and how costly a conflict would be.

Test boundaries and changes

Test adjacent slots, a one-minute overlap, setup-only overlap, the same item in different rooms, cancellation, equipment failure and an expired hold. Use fictional bookings and inspect both internal approval and the public timetable. Check duplicate submissions and recovery after interrupted synchronisation. The related booking app, calendar integration and equipment register cover neighbouring steps. Keep allocation separate from physical checkout: a projector can be booked correctly and still be missing from the cupboard, so a scheduling test should not be reported as proof of actual equipment availability.
