Identify the shipment before changing tracking
An order can have several tracking references. Match shipment ID, contents, dispatch date and carrier rather than changing a field at order level. Determine whether the problem is a mistyped number, wrong carrier or a number belonging to another package. Compare the customer-facing message with the warehouse record. The point is to locate the source of the discrepancy so the correction reaches the right package and does not overwrite a valid reference for another shipment.
Keep the old value, new value and reason
Record correction ID, shipment ID, old and new numbers, old and new carriers, reviewer, time and reason. For S-044, verify the replacement against the actual label or dispatch receipt. A realistic-looking number is not sufficient evidence. Preserve the history in an access-controlled place so a support person can explain an earlier message without exposing tracking details to unrelated users. The active field can show the corrected value while the audit record retains what changed.
| Field | Example | Review decision |
|---|---|---|
| Shipment ID | S-044 | Identify the package within the order |
| Correction | Old to new reference | Verify against dispatch evidence |
| Destinations | Source, register and message | Check remaining copies |
| Next sync | Corrected value retained | Prevent stale overwrite |
List the systems that display the reference
The reference may appear in Shopify, a fulfilment system, an internal register and an already-sent email. Decide which record is authoritative and where the correction must be applied. Shopify notes that tracking handling can depend on the fulfilment service used, so check the method relevant to your operation. Updating one table does not necessarily update another service or recall an email. Make the propagation work visible instead of assuming an integration will repair every copy.

Review the customer-facing correction
When an update is needed, identify the order and package, provide the corrected tracking route and clarify whether other shipments remain. Check that no unrelated personal information or another customer’s reference appears. Verify the new carrier-reference pairing before sending. Keep “message sent” separate from customer acknowledgement. Even without a reply, the register should show what was corrected and where it was applied, enabling the next support person to continue the conversation accurately.
Prevent integrations from restoring the wrong value
If the upstream fulfilment record still contains the error, the next sync may overwrite the correction. Review source ownership and timestamps, and fix the source or define a deliberate exception. If synchronisation is paused, reconcile the backlog before resuming. Use the correction ID and delivery result to avoid repeatedly notifying the customer about the same change. A successful local edit is not complete recovery when another system remains ready to restore the earlier mistake.
Verify the correction and the following sync
Check a number-only correction, carrier-only correction, cross-package mix-up and correction to a second shipment. Verify both the immediate result and the next synchronisation. If another customer’s tracking reference may have been shared, review that exposure through your organisation’s established process. Before closure, reconcile the actual shipment, active reference, connected records and messages individually. This avoids treating a visually corrected field as proof that the whole customer journey is now accurate.
S-044: correct only the second package
An order has first package S-043 and second package S-044; only S-044 is wrong. Preserve S-043 and verify the replacement reference for S-044 against dispatch evidence. After correcting the register, check whether the upstream source still holds the old value. Make the customer message explicitly about the second package. Verify the next sync retains the correction. Distinguish a new correction from resending the same notice so support staff do not infer that another package or another tracking change exists.
Choose a tool and budget around the actual workload
Occasional corrections may need only dispatch evidence and a controlled correction log. If volume increases, classify the causes and improve input or source ownership. Budget for warehouse checks, customer updates and reconciliation after paused syncs, not just the software operation that changes a field. Reducing the source of errors often saves more time than adding another notification feature. Keep exceptional cases reviewable even when the routine update is automated.
