Do not assume one order means one package
An order contains line items and can produce several shipments. A table keyed only by order number often overwrites the first tracking reference with the second. Keep order ID, line ID and shipment ID separate. Shopify supports partial fulfilment; review the actual line quantities being shipped rather than marking every item complete. Also distinguish a prepared package from one handed to the carrier. Those events can happen on different days and support different customer messages.
Reconcile quantities at line level
In sample O-801, the customer orders two mugs and one plate, but the first package contains only one mug. Show one mug and one plate still outstanding. For each line, retain ordered quantity, cancelled quantity, shipped quantity and quantity awaiting shipment. The figures should reconcile without relying on a free-text note. Creating the second shipment record does not mean it has shipped. Give it a prepared or pending state until the physical event occurs.
| Field | Example | Review decision |
|---|---|---|
| Order line | Two mugs | Quantity per SKU |
| Shipment S-1 | One mug | Physical package contents |
| Outstanding | One mug and one plate | Scope of the later shipment |
| Tracking | One reference per shipment | Do not overwrite earlier packages |
Record the contents of each package
Each shipment needs carrier, tracking number, dispatch time and its line quantities. Include the SKU where colour or size variants share a product name. Compare the register with the physical package before sending a notification. Tell the customer what this shipment contains and what remains outstanding. If the remaining arrival date is unknown, say that it is pending rather than converting an internal estimate into a guaranteed delivery promise in an automated message.

Review notifications for each shipment
Check that the first shipment message does not imply the entire order is complete. Align the contents, remaining quantities and next update, and keep a record of resent notifications. If a warehouse or fulfilment service performs the shipping, identify which system is authoritative and who verifies it. An external completion message should be matched to the order and line before reducing the remaining quantity. A familiar order number alone does not establish which package was dispatched.
Recover from an incorrect fulfilment record
If all quantities were marked fulfilled incorrectly, reconcile the carrier handover and processing history first. Follow the applicable fulfilment method’s correction guidance; changing a record does not reverse the physical shipment. Correct the customer communication as well as the internal figures. Before retrying, verify that another package has not already been prepared or dispatched. The recovery should explain both the real goods movement and the status shown to the customer.

Test a later shipment and a partial cancellation
Test an order with only the first package dispatched, a cancellation before the second shipment, a tracking correction and the same SKU split across packages. Ordered quantity should reconcile to shipped, cancelled and still outstanding quantities under your chosen definitions. A zero shipping balance does not necessarily close a refund or delivery investigation. Keep those follow-up tasks separate so a fulfilment total cannot silently close unresolved customer work.
O-801: a cancellation before the second package
O-801 contains two mugs and one plate. After one mug ships, the remaining mug is cancelled. The line balances are one mug shipped, one mug cancelled and one plate still pending. Keep only the plate in the second shipment plan and preserve the first tracking reference. A single shipped-or-cancelled order status would hide the plate. Any required refund remains a separate task, even while the plate is being packed. Reconcile quantities and outstanding actions independently so different progress within one order remains manageable.
Choose a tool and budget around the actual workload
For low volume, Shopify’s fulfilment record plus a review checklist may be enough. Add an external register when several warehouses, package changes or internal checks make coordination difficult. Estimate packages per order, shipping cost, notification volume and repacking time rather than counting orders alone. An integration can execute several times for one order because fulfilments are separate events. Keep a manual exception route for quantity mismatches instead of letting an inexpensive automation hide an expensive physical mistake.
